Website Content Creation Guide

1. Introduction

The College will be using the Drupal CMS and external web services (i.e. Blogger, Flickr, YouTube) as a two-pronged approach to publishing web content.

The benefits of this combined approach will allow greater focus and participation on the publication of content for the College by taking advantage of free--or low-cost--tools created, maintained, and provided by various outside web services.

The University Web Template is the standard template upon which the College Web Template will be based.

2. Content Formats


The two basic content formats to be utilized with are:

  • Blogs (for dynamic content)
  • Pages (for static content)

2.1 Blogs


The blog format is used for content that is updated on a regular basis or needs to be archived sequentially by date such as exhibitions, productions, etc.

Blogger is the web service that will be used to publish dynamic content.

2.2 Pages


Pages refer to non-sequential content that is updated on a semi-regular basis. An example of a page is an "About" page.

Google Docs is the web service that will be used to publish static content.

3. Publishing Tools and Services


The following web services will be utilized to gather and sort content to be imported into the Drupal CMS.

3.1 Blogger

Each department website has been set up with two possible blogs that can be imported into the Drupal system:

  • News
    Daily news and announcements.
  • Bios
    Faculty bio text and photo.

3.2 Google Calendar

Calendar events (if required) are edited and published through a public Google Calendar.

3.3 Google Docs

Single static web site pages (i.e. About, Facilities, etc.) are published through Google Docs.

Contact directories are edited and published through Google Spreadsheets.

Photo collections are collected, sorted, and published through Flickr.

4. Publishing Guidelines

4.1 University Web Template Guidelines

Used for all San Francisco State University web site content.

Used for all content and documents that are published online and in print format by the College of Creative Arts and its departments.

5. Common Content Types

5.1 Audio

Audio clips shall be optimized for the web in MP3 format. Audio files will be stored on the College of Creative Arts web servers.

5.2 Images

Photos and graphics (illustrations) shall be uploaded to a department's Flickr account. Images can then be sorted by tag or sets and displayed as a single image or as a slideshow within a web page. (web service)

5.3 Video

Video shall be uploaded to a department's YouTube account. Videos can then be embedded into any web page. (web service)

5.4 PDF

The preferred format for online content is primarily as an HTML page or as a Google Document--but if absolutely necessary--PDF documents can be uploaded to a department's web server. PDF files will be stored on the College of Creative Arts web servers.

The University Identity Guidelines shall be followed for all PDF documents posted online.
