PDF Section 508 Accessibility

Problem

It was noted that the Spring 08 Events Calendar PDF did not pass the Adobe Acrobat accessibility checkpoints and may be in violation of Section 508 accessibility requirements:
  • This document is not tagged; the reading order of the contents may be incorrect.
  • None of the images in this document that need alternate text have it.
  • All of the text in this document lacks a language specification.

Solution

Use accessibility tools available within Acrobat Professional to ensure that the Spring 08 Events Calendar fulfilled Section 508 requirements for Subpart B 1194.22.

Create an Accessibility Report

The Accessibility Report will list all elements that may not be accessible. Clicking the links listed in Accessibility Report will highlight problem content in the document.
  1. Advanced > Accessibility > Full Check
  2. Select all checkboxes except for Create comments in document and press Start Checking.
  3. A message box will appear stating the number of errors found (if any).

Accessibility (TouchUp) Tools

TouchUp Reading Order

Use the TouchUp Reading Order window to tag content, adjust content order, add alt text to images.
Open the TouchUp Reading Order Tool: Advanced > Accessibility > TouchUp Reading Order...

Show Order Panel

Use the TouchUp Order Panel to edit tags, content, content order and to find unmarked content.
From the TouchUp Reading Order window click on Show Order Panel. Then navigate to Tools > Advanced Editing > Show TouchUp Toolbar
Tip: To find unmarked content click on the Content tab. Then click Options > Find... > Unmarked Content > Find.
The Find option in the Content screen is useful for tagging elements or artifacts that are invisible or below other elements. Tagged elements can then be selected and edited from the Content and Tags screens.

Final Steps

Run the Accessibility Report after each set of changes until no errors are reported. I would recommend saving your document often.
